The First Steps

The Equine Assistant App is in beta. We’re counting on our early users to help us shape how the app is used. We’re updating based on your feedback. The following will help you get started and work with the initial navigation. Reach out with your questions, ideas, and feedback. We can’t wait to hear from you!

Create Your Account
  1. Enter your email, password, first and last name.
  2. You will be taken to your currently empty Calendar.
Setup Your Profile
  1. Tap on the circle icon in the upper left hand corner of the App.
  2. Tap on Edit in the upper right hand corner of the App.
  3. Complete the data fields and upload your preferred profile Image – whether already on your phone or take a new one.
  4. Tap on Save in the upper right hand corner of the App.
Setup Your Stable
  1. Tap on Stable in the bottom, center of your screen.
  2. Tap on + Add Stable.
  3. Your Stable may be pre-loaded, so type in your Stable name in the Search Bar.
  4. If your Stable is loaded, select it. If not, tap on Create Stable in the upper right hand corner of the App.
  5. From here you can start to add your Providers (Vet, Farrier, Trainers/Managers).
Add Your Horse
  1. Tap on the Stable – either one you can select or the one you created. We know some of us have multiple barns.
  2. Tap on Add Horse.
  3. Complete the data fields and upload your preferred profile Image for your horse – whether already on your phone or take a new one.
  4. Tap on Save in the upper right hand corner of the App. You will be taken to your horse’s profile page.
  5. From here you can add Providers to your horse as well as Add Tasks.
Adding Media, Pictures, Health Certificates, Coggins, Competition Cards and More
  1. Currently you can add images to your personal Profile, your Horse’s Profile and to Tasks. You can add media (pictures, documents, and soon video) from View Media text over any image in the App.
  2. We will shortly be adding the ability to upload video, documents, X-Ray files, and PDFs.
  3. To add or access Media, tap on View Media found on any image in your StableHorse or Personal Profile.
Add and Invite Providers to Your Stable
  1. Select Stables and tap on the Stable you want to add Providers to.
  2. Tape on Providers found directly above Add Horse.
  3. You will see options to Add Farrier, Add Instructor, Add Trainer/Manager, and Add Veterinarian.
  4. Select the Provider you’d like to add buy tapping on the + sign next to Farrier, Instructor, Trainer/Manager or Veterinarian.
  5. Tap on Person.
  6. Select either an existing Provider by tapping on Add Provider, or add a new Provider by tapping Add Person.
  7. If you selected Add Person, you may add them from your Address Book or as a New Contact from the pop-up.
  8. Select or Input the relevant Profile Information for your Provider and select Save.
  9. You may now Invite your Provider to your Stable by selecting Email or Text Message or Other. We recommend Email or Text Message as Other is still a work in process.

Note: This function is used whenever a new Horse is added to a Stable. The App will invite the Provider providing a link to connect to the Horse. The Provider will be connected to the Horse once he or she accepts the invitation. If the Provider already has the App, they will be added on acceptance of the invitation. If new to Equine Assistant, the Provider will be directed to create an account and then be connected to the Horse.

Add and Invite Providers to Your Horse
  1. Tap on the Stables found centered at the bottom of the App.
  2. Tap on the Stable you would like to add a Provider to – we know some of us have more than one Stable.
  3. Tap on the Horse you’d like to add a Provider(s) to.
  4. Tap on Providers found directly above Add Task.
  5. Tap on the type of Provider you’d like to add (FarrierInstructorTrainer/Manager, or Veterinarian) by clicking on the + sign next to the Provider type.
  6. Tap on Person and select either an existing Provider by tapping on the desired Person, or Add Person in the upper right hand corner of the App.
  7. If you selected Add Person, you may add them from your Address Book or as a New Contact from the pop-up.
  8. Select or input the relevant Profile Information for your Provider and select Save.
  9. You may now Invite your Provider to your Stable by selecting Email or Text Message or Other. We recommend Email or Text Message as Other is still a work in process.
  10. Now it’s time to Add Tasks for your Horse.
Add Tasks for Your Horse

You can Add Tasks from either the Calendar (accessed by tapping on Calendar on bottom left of App), or from a Horse profile page.

If from Calendar:
  1. From Calendar tap on Add Task in upper right hand corner of App.
  2. Select the Horse(s) for the task, or you have the optoin to Select All in your Stable.
  3. Tap on Create Task in the upper left hand corner of the App.
  4. Tap on Task and select the category of Task to be completed (FarrierHealthInstructorStable, or Trainer).
  5. From the selected category, you can pick from common options or on Other Task and input your own in the Description.
  6. You can now select the Provider, the DayTime, and if you’d like to Repeat the Task. Recurring Tasks is one of the more robust features of the App – helping you plan and notify those connected to your Horse(s).
  7. Once you’ve filled in the applicable information, tap on Save in the upper right hand corner of the App.
  8. You will be returned to the Calendar and the Task will have been added in chronological or date order.
If from Horse profile:
  1. Access your horse’s profile from Stable, and tap on the horse to be assigned a Task.
  2. Tap on Add Task located about a third of the way down on the screen.
  3. Follow steps 4 through 7 above in if “Adding by Calendar.”
  4. Once you hit Can you scroll up by swiping from the bottom to the top of your phone on your home screen Save, you will be returned the horse(s) Profile and the Task will have been added in chronological or date order.
Add Notes and Media to Tasks

You can Add Tasks from either the Calendar (accessed by tapping on Calendar on bottom left of App), or from a Horse profile page.

  1. To add Notes or Media to a Task, simply tap on a Task.
  2. To Add Note, simply tap on Add Note and enter text for your Note.
  3. You can also Add Media from this prompt by tapping on the large under Media and adding an image from your Albums, Recent Photos, or by taking a new image with your Camera.
  4. You can also tap on the Horse assigned the Task and add Notes or Media in the same way described in 2 and 3 above.
  5. Once you hit Save, your Note and/or Media will be saved to the Task.

Other Cool Stuff and Suggested Uses

We’ve compiled a list of tips here handy for all … but especially useful for training and lesson barns. Remember, new tools and functionality are being added to the Equine Assistant App weekly (sometimes daily), so keep checking back to this page for announcements on what we’ve added based on your feedback!

New Arrivals

Use your phone to take a picture of arriving horses and quickly create a Horse profile. You’ll have an instant record with contact information for your new arrival to share with Providers in your Stable (Vets, Farriers, Instructors, Trainers). It’s not only useful administratively, but a way to track progress of the horse by uploading images and video while the horse is under your care whether as an Owner or professional.

Check Tasks Off Your List

Open a Task and tap on Complete Task at the bottom of the App. There will be a check mark on the Task and on the Calendar. Use this to track what is done over the course of the day. Think of it as training checklist where you can check things off your list once completed.

Remember, you can assign the same Task to multiple horses. You can either select Complete Task for individual horses, or all at once. Nifty!

Defer Tasks

Hey! We all often bite off more than we can chew in a day. With Equine Assistant you can select Defer Task and push it a day (or more), or assign it to another Provider. This is handy for barns with multiple trainers, instructors and/or managers.

One Task Assigned to Multiple Horses

Select all the Horses in a Stable, or just select Horses, and assign a Task quickly. This is a great tool for vaccination day, turn out schedules, baths, you name it!

Accurate Exchange of Communication and Dialog

Notes and Media can be attached to each Task and each Horse within a Task. This can be done multiple times by multiple Providers. Equine Assistant creates a mechanism for dialog surrounding Tasks, with the information stored for easy access today and in the future.

Owners, Trainers, Vets, and Farriers Wanted!

If you are a TrainerVeterinarian, or Farrier and wish to invite your Owners to add their horses, Invite them through the App, or send them to Equine Assistant so they can check things out for themselves. And Owners – get your Providers on board by doing the same. Load up the pertinent information for your Horse and share with your Providers. Get them excited about streamlined and more accurate, efficient communication between everyone connected with your horse(s).

Change Your View

From Calendar, slide the line found at the bottom of the month upward to switch to Week View. In this way, you can see just your current week, leaving more room for your Tasks.

Got Lessons?

To use Equine Assistant as a lesson scheduler, add people receiving lessons as Instructors. In this way you can communicate with students when you’ve scheduled their lesson, on what horse, and even give them notes on what they will be working on, or homework pre-lesson.

We’ve received a lot of feedback already on this option and are developing a component tailored to lesson programs. Stay tuned!

Quality Documentation and Information

All Providers can add notes and media to a horse’s profile. This allows for a more accurate exchange of information between all parties. How many times are a vet and farrier at a barn at the same time? Rarely. Vets appreciate the ability to access notes on a horse, and push through instructions for care to all involved since often the manager, trainer and owner are not on site when care is being provided.

A Picture Is Worth a 1,000 Words

Trainers can upload images to a Health Task to show a Vet a concern or provide a visual of how treatment is progressing saved to the Horse’s profile.
